OPERATIONS AND PROGRAMMING ASSISTANT

Reporting to the Executive Director (ED) and working closely with the ED, and Director of Programming (DOP), the Operations and Programming Assistant for the Down Syndrome Guild of Dallas (DSG) is responsible for the marketing and communication processes/functions of the office, phone traffic, assisting with and tracking parent concerns, and assisting the ED and DOP as needed in accordance with the organization’s mission and strategic plan. Other key duties include financial management, revenue generation, assisting with programs and special events, advocacy and community outreach to solicit positive changes in rights, education, benefits, and services for people with Down syndrome.

RESPONSIBILITIES:

Daily Operations: Create a positive and welcoming brand for the Down Syndrome Guild of Dallas on a consistent basis in person, on the phone, in print, or via other social or media outlets.

  • Responsible for the all incoming phone traffic. Must be able to be empathetic, knowledgeable and resourceful at all times.
  • Serves as initial contact for membership questions/concerns.
  • Responsible for maintaining resource lists to include but not limited to: educational guidance, medical assistance, parent interaction, program assistance, etc.
  • Maintain the DSG Database
  • Create and send out thank you letters after events and projects
  • Responsible for assisting with the day to day operations of the office. Specific duties may include, but are not limited to: sorting and distributing mail, copying, filing, data entry, accounts payable, and accounts receivable.

Financial Performance and Viability: Develops resources sufficient to ensure the financial health of the organization.

  • Oversees fundraising database platforms to ensure online giving/event registration is easily accessible.
  • Prepares check deposits for entry and oversees credit card deposit entries/reconciliation.
  • Codes invoices for payment by DSG that have already been approved by the ED.
  • Prepares financials for Board upon reconciliation and monthly correspondence with the Bookkeeper.
  • Updates and prepares annual appeal donation letters and coordinates with printer and mail house.
  • Supports other fundraising efforts as needed.

Marketing: Creates and ensures effective implementation of materials utilized online, in print or at events representing the DSG. 

  • Ensure the DSG maintains their brand integrity through all forms of marketing: media, programming efforts and community involvement.
  • Oversee, create/maintain and work with office staff on all social media postings: Facebook, DSG website, Twitter, etc.
  • Oversee and create all program e-mail blasts, weekly e-newsletter, special event marketing, press releases, and media responses.
  • Create/work with office staff and design firm as needed on projects such new parent binder, newsletter, event invitations, sponsor materials, donor solicitation materials, video marketing, etc.
  • Assist in identifying other websites DSG should be partnering with or a listed site on their website such as: greatnonprofits.org/citydallas/TX for giving or as a resource. Utilize our community outreach partners as possible options as well.
  • Ensure all aspects of the DSG website are updated on a consistent basis or as needed (statistics, resources, board information, programs, online giving, fundraisers, special events, calendar, etc.)
  • Research and provide information to assist in the creation of a data bank of venues, event contacts and other resources that can be used throughout the year for events such as the Buddy Walk, Bike Camp, Fall Conference, etc. establishing at least 3 potential sites for each at any given time.

Data Management: Creates useful financial data to support the annual budget and any future needs.

  • Ensure data integrity and member status of the donor/membership, database.
  • Responsible for analyzing trends in donor/membership activity, in addition to marketing statistics and recommending solutions to the Executive Director, Director of Programming and Board of Directors.

Programs: Assist Director of Programming as needed for various program needs

  • Responsible for participating in related community events when deemed appropriate.
  • Responsible for occasionally serving as primary event day contact for programs and special events as deemed necessary by the Director of Programming and/or Executive Director.
  • Oversee set up and maintenance of program and special event registration.

QUALIFICATIONS AND SKILLS:

  • Bachelor's degree and one to two years related experience or equivalent combination of education and experience
  • Experience working with individuals with special needs preferred
  • Previous non-profit experience preferred
  • Ability to interact and maintain professionalism with people of all ages, disabilities, and cultural backgrounds
  • Ability to work independently and as part of a team
  • Effective oral and written communication skills
  • Demonstrated computer knowledge including experience with Adobe InDesign, Microsoft Office, QuickBooks, email marketing platforms, social media platforms, and donor database systems
  • Ability to work flexible hours including some nights and weekends
  • Bilingual English/Spanish a plus
